Sedona Game Night
Effective date: October 13, 2026

Who we are

Sedona Game Night is a community game-night program hosted with Summit Life Church and Rock of Ages Church in Sedona, Arizona. This policy explains how Sedona Game Night organizers handle information collected through sedonagamenight.com, RSVPs, game suggestions, and optional text updates.

Information we collect

When you RSVP, we collect your name, mobile number, group size, and reservation details. You may choose to provide an email address, children’s ages, pizza preferences, dietary or accessibility needs, game preferences, items you would like to bring, or a note to organizers. An optional community question asks about church affiliation; answering is not required and does not affect your ability to attend.

For optional text messaging, we keep your mobile number, consent choice, the time consent is recorded, and the version of the consent disclosure. We also keep reservation status, waitlist position, and attendance information needed to run events.

When you suggest a game, we collect the game details and any first name you choose to provide. Our website and hosting providers may process technical information such as IP addresses, request times, browser or device information, and error logs to operate and protect the service. The application uses an IP-derived identifier to limit repeated requests.

How we use information

We use information to reserve seats, manage waitlists and seat offers, plan food and games, coordinate attendance, respond to questions, and protect the website against misuse. If you choose to receive texts, we also use your information for the Sedona Game Night messaging program described below. Providing an optional email address on the RSVP form does not by itself subscribe you to email marketing.

Optional text messages

If you actively opt in through the RSVP form or another disclosed sign-up method, Sedona Game Night may send automated text messages about RSVP confirmations, waitlist status, available seats, cancellations, reminders, and invitations to upcoming game nights. Message frequency varies, typically around two to four messages per month; reservation activity may result in additional updates. Message and data rates may apply.

Text-message consent is optional and is not a condition of purchase, RSVP, or attendance. Reply STOP to unsubscribe or HELP for assistance. You can also contact an organizer using the contact information below. Opting out of texts does not cancel your reservation. Keep your private RSVP link to check or update your reservation without relying on text delivery.

Unchecking the text-message option on a reservation stops future messages generated by this website for that reservation; use STOP to withdraw your text-message subscription through the messaging provider. See our Participation and Text-Message Terms for additional program information.

Mobile information and consent

We do not sell or rent personal information. Mobile numbers, SMS opt-in information, and SMS consent status are not shared with third parties or affiliates for their own marketing or promotional purposes.

We may share the information needed to provide our text-message program, including mobile numbers, consent records, and event information, with service providers such as Klaviyo, telecommunications carriers, and vendors supporting message delivery. This service-related sharing is limited to operating and supporting the program, rather than allowing other organizations to market to you using your consent.

Who receives information

Authorized Sedona Game Night organizers from the hosting churches can access RSVP information for event administration. Your RSVP is not a public guest list. We do not publish your phone number, email address, dietary details, church affiliation, or children’s ages.

Our service providers include Vercel for website hosting and Supabase for the database. When text messaging is enabled, Klaviyo receives the contact, consent, and reservation information needed for messaging. The website’s text integration does not send dietary notes, children’s ages, or church affiliation to Klaviyo. Messages sent to our contact email are also handled by our email and forwarding providers.

Approved game suggestions, descriptions, and an optional first name may appear publicly on the game list. Please do not include private information in a suggestion.

We may disclose information when required by law or reasonably necessary to protect people, investigate misuse, or establish or defend legal rights. This does not permit sharing SMS consent for another organization’s marketing.

Cookies, browser storage, and private links

The website uses a cookie to identify a browser for game voting and a signed session cookie for organizer login. Your private RSVP link is stored in browser session storage so you can manage your reservation. If you select the option to remember your details, contact details and reservation links are also stored in local storage on that device. You can use the form’s forget option or clear your browser storage to remove saved details.

Your private RSVP link grants access to your reservation. Treat it like a password and do not post it publicly. Use the remember option only on a personal device.

The current website does not use shopping-cart abandonment tracking or precise device-location tracking for text messages. If we introduce additional tracking or materially change these practices, we will update this policy and obtain any required consent.

Retention and security

We retain information for the purposes described in this policy, including event administration, resolving reservation issues, maintaining consent and opt-out records, and meeting applicable legal obligations. We assess continued need based on the type of information, the event or relationship involved, and any outstanding obligations. Cancellation alone does not delete your reservation record.

Access to organizer tools is restricted, and service providers support the storage and transmission of information. No website or storage system can guarantee absolute security. Deletion from active systems may not immediately remove copies in backups or records that must be retained for legal purposes or to honor an opt-out.

Your choices and privacy requests

You may ask us to access, correct, or delete your information by contacting us below. We may need to verify your identity before acting on a request. We will handle requests as required by applicable law and explain any information we need to retain. You can change or cancel a reservation using your private RSVP link and stop texts by replying STOP. Your ability to attend does not depend on opting into messages or answering optional community questions.

Children

Our events welcome families, but the website’s registration and text-message sign-up are intended for adults. A responsible adult should provide their own contact details and register accompanying children. We do not ask children to submit their own names, phone numbers, or email addresses. Please contact us if you believe a child under 13 has provided personal information directly so we can review and remove it as appropriate.

In-person help is available at game-night events. Please do not include sensitive dietary or medical details, passwords, or private RSVP links in public messages.

Changes to this policy

We will post updates on this page and revise the effective date. For material changes affecting how personal information or messaging consent is used, we will provide additional notice or obtain new consent when required.
